Complete Guide to Event Check-in, QR Ticketing & Staff Scanning
This step-by-step tutorial guides you through configuring an end-to-end event ticketing, door check-in, and attendance management workflow using FormMail Hub.
You will learn how to automatically issue digital QR code tickets to attendees, distribute personalized zero-login scanner links to event staff, view real-time attendance status badges during check-in, process check-ins and check-outs via camera scan or camera-free manual verification links, and send dual real-time email receipts for every scan.

1. Prerequisites: Custom SMTP Unlock Requirement
Section titled “1. Prerequisites: Custom SMTP Unlock Requirement”Before designing email templates or configuring staff scanner routing, custom SMTP must be configured and tested.
Warning: Custom SMTP Prerequisite & UI Lock State
Admins MUST configure and test custom SMTP settings under Settings > SMTP Config before unlocking Templates, Rules, Campaigns, or Analytics. Until custom SMTP is active, these feature tabs remain strictly locked in the FormMail Hub user interface. Built-in System SMTP cannot be used for custom templates or respondent ticket auto-responders.
Quick Setup Steps for Custom SMTP:
Section titled “Quick Setup Steps for Custom SMTP:”- Open FormMail Hub from Google Forms™ or Google Sheets™.
- Navigate to Settings > SMTP Config.
- Input your custom SMTP credentials (e.g., Gmail™ App Password, Amazon SES, SendGrid, Mailgun, or corporate SMTP server).
- Click Test Connection. Once verified with a success response, all locked UI tabs will unlock immediately.
2. Step 1: Issue Digital QR Code Tickets to Attendees
Section titled “2. Step 1: Issue Digital QR Code Tickets to Attendees”When an attendee fills out your event registration Google Form™, FormMail Hub can automatically dispatch a personalized confirmation email containing an embedded digital QR code ticket pass.
Single-Ticket Restriction (Optional)
Section titled “Single-Ticket Restriction (Optional)”If your event requires restricting each respondent to a single ticket, enable “Limit to 1 response” in your Google Forms™ Settings. The FormMail Hub cloud engine ensures each ticket is uniquely tracked.
Dynamic Tag to Use:

{QR Code}dynamic tag renders a visual QR code image along with a direct manual verification link. - Real-Time Verification: When scanned or clicked, the ticket opens the verification screen to verify ticket authenticity in real-time.

- Save the template and attach it to an active Email Rule targeting respondents.
3. Step 2: Add Team Members & Generate Staff Scanner Links
Section titled “3. Step 2: Add Team Members & Generate Staff Scanner Links”Event staff do not need administrative access or passwords to verify tickets. FormMail Hub uses personalized, zero-login authorization links that convert staff mobile devices into authorized ticket scanners.
A. Add Staff as Team Members
Section titled “A. Add Staff as Team Members”- In the FormMail Hub sidebar, navigate to Team Members.
- Enter the email address of each staff member (e.g.,
staff@yourcompany.com). - Click Add Team Member.
Note on Permissions: Only the first user among the form’s editors who connects that form to FormMail Hub (Primary Connector / Admin) is granted exclusive rights to configure settings, templates, rules, and triggers. Team members are added strictly so the Admin can select who receives email notifications and who is authorized to act as event staff scanners. Team members DO NOT have edit or configuration permissions.
B. Dynamic Scanner Tags for Staff Emails
Section titled “B. Dynamic Scanner Tags for Staff Emails”When sending notification emails to staff, include one of the following dynamic scanner tags in the staff notification template:

Security Isolation Rule: Scanner authorization links (
{Check-in Scanner},{Check-out Scanner},{Full Scanner}) are populated strictly in staff/team emails and are automatically stripped from respondent emails to guarantee security isolation.
C. How Zero-Login Links Work
Section titled “C. How Zero-Login Links Work”Each staff link encodes the authorized action mode (checkin, checkout, or both) with a 7-day expiration token. Clicking the link instantly authorizes the staff member’s mobile browser for 7 days for seamless scanning without requiring password logins.
Important: Browser Session Isolation Note
Because authorization relies on a secure browser session set during link activation, opening the link in one browser (e.g., an in-app email viewer inside Gmail or Outlook) will NOT authorize a different browser (e.g., your phone’s default Safari/Chrome browser or a standalone QR camera scanner app). Staff MUST copy and paste the authorization link directly into the exact browser application used for scanning QR codes.
4. Step 3: Execute Check-in & Check-out Scans (Camera & Camera-Free)

- Point the device camera at the attendee’s physical or digital

Method 2: Camera-Free Staff Check-in (Direct Manual Verification Link)
Section titled “Method 2: Camera-Free Staff Check-in (Direct Manual Verification Link)”- Staff members who receive submission notification emails containing
{QR Code}or{Verify Link}also receive the direct verification link. - Staff can click this verification link directly inside their notification email on an authorized device to open the attendee verification screen without requiring a camera scanner.
Live Scanner Interface & Attendance Status Badge
Section titled “Live Scanner Interface & Attendance Status Badge”Upon opening the scanner verification screen, staff members are presented with a clear visual Current Attendance Status Badge and localized event timestamp:
- 🟢 Status: Checked-In: Displayed in green when the ticket is currently in
INstate, showing the exact check-in time rendered in the staff member’s local device timezone. - 🚪 Status: Checked-Out: Displayed in slate grey when the attendee has checked out (
OUTstate), alongside the checkout timestamp. - ⚪ Status: Not Checked-In Yet: Displayed in light grey for valid tickets that have not yet been scanned.
When staff click the Check-In or Check-Out action button, the status badge and timestamp update instantly on screen without requiring a manual page refresh.
Attendance Engine & 30-Day Rolling Retention
Section titled “Attendance Engine & 30-Day Rolling Retention”When a scan or manual verification occurs, the platform verifies staff permissions and updates the ticket’s explicit state (IN or OUT). Every state change maintains the record for 30 days of rolling retention without deleting data:
- Check-in Execution: Prevents duplicate check-ins if the ticket is already marked as checked in (
IN). Sets status toIN, logs the check-in operator email and timestamp, and refreshes the 30-day retention period. - Check-out Execution: Validates that the ticket is currently in
INstate before updating status toOUT. Logs check-out operator email and timestamp, and refreshes the 30-day retention period instead of deleting the record.
5. Step 4: Automated Dual Real-Time Attendance Receipts
Section titled “5. Step 4: Automated Dual Real-Time Attendance Receipts”Every successful check-in or check-out trigger automatically dispatches two independent real-time email notifications:
Receipt 1: Attendee Attendance Email
Section titled “Receipt 1: Attendee Attendance Email”Dispatched immediately to the ticket holder confirming their updated attendance status:
- Recipient: The attendee (
{Email Address}). - Content: Updated status (
Checked InorChecked Out), Event Name ({Form title}), Reference ID, and exact UTC timestamp.
Receipt 2: Staff Activity Log Email
Section titled “Receipt 2: Staff Activity Log Email”Dispatched immediately to the scanning staff member (and automatically CC’d to the Form Owner):
- Recipient: Scanning Staff Member (CC: Form Owner Admin).
- Content: Complete audit trail recording attendee identity, ticket reference code, staff email identity, action mode, and scan timestamp.
6. Troubleshooting & Operational FAQ
